SMTA Board-Approved Printed Program Guidelines for Event Chairs (updated 2025)
> If a chair wishes to have the Administrative Coordinator (AC) take care of all printed programs, registration must close a minimum of 3 weeks prior to the event. The chair is responsible for submitting any desired program material to the AC within two days of registration closing. The AC will coordinate with the chair on the most effective way to pick up finished programs.
> If a chair wishes to create their own program, they may close registration at any time. The chair will also be responsible for printing of the programs. You can access your MTNA discount code for printing services on the MTNA website, if desired.
> Chairs that create their own programs must adhere to the following style/formatting guidelines. Although we encourage personalization and creativity, we aim to have cohesion across our events.
> Please consider doing electronic programs for your event. It saves SMTA money and saves the environment. If you choose to do electronic programs, anyone may request a PDF to print for themselves at home.
Guidelines:
1. Any images/graphics used that do not already appear on our website must be sent to the Administrative Coordinator for approval. Any images/graphics may not be subject to copyright or have any usage issues. The board may choose to reject any graphic for any reason.
2. If you plan to seek reimbursement for printing, please keep the size/economy of your program in mind. If possible, aim to print multiple programs on the same sheet, use both sides of the paper, etc. If you want premium printing services, please email the SMTA Treasurer to inquire about estimated budget for your project.
3. All programs must include the SMTA logo on the front page.
4. All programs must include NCTM next to any teacher's name that has received the designation.
5. Please include a form of gratitude for any sponsor or partnering venue/company for your specific event (if applicable).

7. Please use size 12 font and larger to allow for accessibility.
8. Keep consistency of formatting throughout your program. For example, if you list the full first name of a composer, you should always list the full first name of any given composer. If you italicize the name of a composition, you should always italicize the names of the compositions listed. Please look for this consistency in how you list names of performers, pieces, composers, teachers, ages, etc.
